Executive Assistant, Business Development

This position will report to the Director of Real Estate and Facilities. This role will serve as a shared resource to both the Business Development team, as well as the Real Estate and Facilities team at TerraPower. This position will support business development and marketing functions, managing very complex calendars, preparing agendas, presentations, documents, spreadsheets, and logs/databases; making travel arrangements; and developing options/solutions to often challenging tasks related to business development and marketing functions and provide recommendations.


Administrative Support

         Provide direct support to the Business Development team, as well as other Executive Assistants on the administrative team.

         Daily: enhance the work of assigned executives through general assistance and organizational support to include day-to-day interaction and facilitation of internal and external request and various aspects of interdepartmental communication.

         Directly manage and coordinate executives’ schedules by planning and scheduling meetings, conferences, teleconferences, prioritizing functions, and appointments, ensuring that meetings, deadlines, presentations, and logistics are handled seamlessly.

         Serve as the liaison between internal and external stakeholders by facilitating communications, planning events, distributing information, drafts agendas and scheduling meetings.

         Develop agendas, track/capture action items for pre-planning meetings and post meeting action(s).

         Manage confidential communications.

Editing/Proofreading Compliance

         Conserve the executives’ time by reading, researching, and routing correspondence, drafting letters and documents, collecting, and analyzing information, and initiating communications.

         Perform technical editing and proofreading of Documents and PowerPoints

         Proofread for use of proper trademarks, markings, and templates.

         Proofread for errors and consistency in communications and presentations.

         Manage and ensure that all presentations have gone through the Public Release Procedure.


         Coordinate and book all travel for executives, as well as completing expense reports.

         Support travel logistics, including travel packets, group travel itineraries and background information on meeting participants. 

         Create agenda, itineraries, and all matters related to local and destination logistics.

         Support TerraPower at marketing events/conferences on behalf of and/or in conjunction with Business Development Department.

Key Qualifications and Skills

         Minimum of 6 years of experience in Administrative Support, including experience working directly with Director and/or C-suite level leadership.

         Bachelor’s degree in Business Administration, Marketing, Communications, or other related field or equivalent years of work experience.

         Must be proficient with the full MS Office Suite.

         Strong understanding of the sensitive nature of working in the executive office and have good judgement, problem solving skills and maintain the highest levels of confidentiality and integrity.

         Adaptable and comfortable operating in a fast-paced environment.

         Must have excellent written communications, interpersonal skills, and the ability to interact positively with all levels within the organization including senior executives, trustees, donors, and peers.

         Able to project a positive, collaborative, professional demeanor always.

         Problem solving and ability to meet deadlines with a great level of flexibility.

         Exceptional organization and time management skills – able to work independently, to prioritize multiple tasks to meet changing deadlines and requests, while strategically thinking ahead.

         Team player who can assess when to act autonomously and when to coordinate with others or seek leadership input.

         Highly skilled in using various video conference tools, such as Teams and WebEx

Salary Range Level 7: $71,093 - $106,640

Salary Range Level 8: $81,383 - $122,074

*Typically, our employee salaries are within .90 – 1.0 of the mid-point of the posted salary band.  Any salary offered within the posted salary band is based on market data and commensurate with the selected individual’s qualifications and experience.  This range is specific to Washington State.
